All-Star Summit - Disney Pass Question

Its our 1st year going to The Summit. Most of our parents are staying off property due to cost, but some asked if they choose not to go to the parks due to compete times, do they expire? Our team has an at-large summit bid, and i can't find any info on if they expire after the weekend or at the end of the year. A friend wants to go back to disney another time but she wasn't sure if she can with the pass.
 
There's a date limit on them, I think it's something like 15 days out from the start of Summit. Not positive on the dates but definitely NOT good until the end of the year.
 
For d1 those passes are good from May 1st thru 15th. Got this from the Varsity's summit site.
D2 May 8th thru 15th.

Just want to say how lucky you are that you had a choice about where to stay. Our gym owner mandated that the entire team stay together, on property at the same hotel with the Varsity package. While personally I would have likely done that anyway for the sake of convenience, there are a few families who really struggled to afford the package, and also due to family size (5 people and up) cannot actually fit on a standard room at Coronado Springs. It has been a huge issue b/c neither Varsity nor Disney can do anything about it. Coronado does not allow roll away beds/cots and since we booked through Varsity, Disney does not have our reservation numbers to make any changes to room reservations. Again, thankfully not an issue for me since it is just DD and I, but it has definitely put a bit of a damper on the excitement for a few of our families. We are hoping if we are lucky enough to get a bid again next year, that we will all be allowed to stay where we want to accommodate all budgets and family sizes.

We had this in the past and the work around was beneficial to all as you would put their "extra" on your package. It reduced your cost and helped them with the numbers in their room.

What we have done for STP in my gym for larger families is to list the kid in someone’s room who is staying on site, and then the larger family can stay somewhere they actually fit. Since there are only 3 in our family, and just CP and I for Disney, we had room for a phantom kid or two :).

OK- our issue is that the coaches required everyone to stay at the same resort together. We are at Coronado and the only option for a room there to fit everyone is a suite which was several hundred dollars which the families couldn't afford. I think that should we be in this situation next year, coaches need to encourage the teams to all stay together but understand that for some families due to size they can't be expected to do that.

Kind of like what the other person said. You list one of the "extra" on your room list but they are really staying with their parents. Of course this only works, if the 5 th person will sleep on the floor. I know that at some of the Disney hotels there is a small bed that will drop down from the wall.
 
Ie- the Smith family has five members: mom, dad, big, middle, little.
The Jones family has three members: mom, dad, child.

Smith family lists in their room at registration:
Mom Smith
Dad smith
Big Smith
Little Smith

Jones family lists in their room at registration:
Mom Jones
Dad Jones
Child Jones
Middle Smith

Middle Smith could actually stay with their family, but it would be a floor bed/wall bed if the room had that option.
Or if Jones family is okay/middle Smith wants it, let them stay in the same room...
