You know I have no idea. She didn't discuss anything with the parents as far as what the $ was for other than camp.

I will agree that this isn't acceptable. Our school doesn't work like this. We each get billed individually for things. It all goes into the cheer account, but everyone is responsible for their own stuff. There could be instances where someone can't pay, but the team never hears about it.

My paying in money for my child is for my child. Fundraising is for the team and everyone benefits from that.

Do you have a booster club group or board you are involved in? I could see feeling left in the dark if you weren't at the meetings where it was discussed, but I've never heard of the coach having the only access to money and nobody else monitoring it.

No we don't have a booster club group or board for the parents of the cheerleaders. There was no meeting or anything. She's the only one that has access to all the money,which is why I had a problem with what she did. We didn't get an invoice or anything showing how much the choreographer was paid. She just expects us to take her word for it.

The school should have the books. Our coach isn't allowed to write checks out of the account. Everything goes through the financial person at the school and the checks come from the school. All goods and services need an invoice or a purchase order. This has been true at two schools in different districts. I imagine most schools are the same way.

I only know because I make the team bows.

Communication is a big issue with many programs. While I don't think anything was meant to be shady it does cause issues.


Also non payment from entire families is a big issue. 80% end up supporting the 20% who don't pay.
 
I get putting it out that camp money non-refundable for those who pay and then decide, we going to the lake with family that weekend. I should be able to get my money back, Suzie needs to spend this time with family.

Sounds like she didn't get the full payment to even book/register for camp so she used monies she did receive for something else. She is wrong, if money collected will not be used for purpose intended. She needed to communicate with parents " due to low camp fees collected we will not be able to attend camp and monies will be used for choreography, etc.". If it was due to not everyone paying how is it acceptable for those that did pay, to pay for routine, etc and others didn't?? I get when collecting money for a team sport, there will always be at least 1 person who does not pay. Simply saying "monies was used for other things" can lead some to believe you used this money for your personal use. Effective communications covers all involved!

If this is school cheer, a call needs to be made with Principal/Athletic Director as all fees associated with school sports, require some kind of invoice/purchase order. If not a call needs to be made with gym owner.

If 10 people don't pay for camp, we either have to fundraise for them and pay their way or nobody gets to go. Legally, no money can be allocated to a specific person for a specific event either-it all goes into a big pot and is used for the entire team, which it sounds like it was. I agree communication is key, but the new legal rulings about pay to play and booster clubs eliminates a lot of "what is fair." It's not fair. I've found that many of the people that don't pay are NOT the people that need financial help either but if I want my team to succeed and do fun things, then we fundraise and make up for those people.

For our team, everything goes through "Backers" (aka our booster club). Every payment from a parent is a "donation" and we cannot require they pay anything. We give a suggested donation amount for all of the things we would like to do and pray most of them pay it. If we don't have enough money between donations and fundraising, we don't get it-no matter what it is. Last year due to lack of funds we didn't attend camp, didn't get practice clothes, and warm ups didn't come in until well past the half way point of football season. Honestly, if it would have been a new uniform year I would bet we would have gone out there in t-shirts. This season is significantly better, as the returning girls realized how much it sucked to not be able to do or have anything, and we've seen a lot more fundraising involvement and parent contributions.

I feel like ours is similar with the fundraising, and I know they cannot make parents pay for anything including choreography. Our payment for the season that goes to the booster club is technically optional as well. Clothing (including warmups) however is optional and anyone can order or not order what they want. Fortunately most parents know that the booster club needs $ to function and they buy the clothing and warmups without issue.
