I have an email draft where I can quickly add in anything that pops in to my mind while I'm at work (stunts, music, team name, ect.). I have youtube "lists" for routines that I saw and wanted to remember it so I could try it in the gym.

I really dont' have too much stuff that I need to organize (the owners are in charge of paperwork, legal stuff, payments...) but I do have a notebook in a binder where I take notes, write down goals, write out choreography changes but there isn't much organization too it.
 
Not a coach but if you're not using Evernote you are working way too hard! Hear something on the radio, one click-record it. Video, pictures, notes, tagged, organized, shared between every device. You can even save things from other apps, like links and articles, direct to your Evernote notebooks.

Get on it if you're not an Evernote user.

I keep a binder for everything for the team. Their tryout forms/pictures, chart of contact info for the team, attendance sheets, skill charts, USASF rules, 8 count sheets from choreography and updated 8 count sheets for any changes we make, formation charts, laminated stretching/warm up chart, competition schedule, practice schedule, practice plans. Aside from the attendance sheets, I have a copy of almost everything saved to a file on my computer so I can leave the binder at the gym in case I'm running late or need to miss a practice and someone else needs to pull that info.

I also have a backpack that I use specifically for coaching that I keep in my car so it goes to every practice and competition. I keep a 7 day pill box for any jewelry and write their names on the slot where I put their jewelry with a dry erase marker. Bobby pins, hair ties, band aids, tape, safety pins, tide pen, hairspray, competition makeup, team stuffed animal, another copy of the contact sheet, baby wipes, etc.

I have a binder also. The files contain athlete contact info from registrations, any forms that need signing by parents, competiton info, attendence sheets, fee's paid/due (yah, I do that too), sizes for uniforms/shoes (at least until they all get their unis), a notebook of 8counts/stunt groups/formations. I keep a first aid kit with all the usual plus disposable combs, hair ties and a few snacks (diabetic on the squad).

For competitions my bag has more hair ties, bobby pins,travel hair spray, an extra bow, socks, small brush, stain stick, sewing kit, extra makeup, a copy of the competition registartion forms (which I have had to use more then once) and baby wipes.

I love the pill box idea!
 
I know there used to be a thread for this but I searched and I can't find it. Does anyone have some more suggestions for good apps for iPad/iPhone for coaches? I remember someone talking about something where I think you could slow down and draw on videos? Maybe I'm crazy.

I remembered the name of that app as soon as I posted this... It's called coaches eye and it seems really useful!

Any other suggestions are still welcome.

I make binders for all my coaches. The binders include: team rosters, attendance sheets, 8 count sheets, USASF rules for the level they coach, score sheets and rubrics for Varsity & Jam, and note cards for team goals & successes.

I hold weekly coaches meetings to get feedback and provide any help I can with choreography issues or team dynamics.

I also use the EverNote app to store competition and document information.
